Leave TypeA Leave Type defines the categories of leave that employees can apply for according to entitlements and company’s policies—for example, Annual Leave, Sick Leave, Maternity Leave, and Unpaid Leave. Each leave type may follow different rules for eligibility, balance calculation, usage, and flexibility. Steps to Create a New Leave Type: Go to E-Leave > Setting. 2. Under Setting, select Leave Type, then click New. 3. Enter the Basic Information: Title – Enter the name of the leave type. Is Active – Tick to enable this leave type; untick to prevent employees from applying for it. 4. Configure Leave Entitle Calculation Settings: i. How would you like this leave to be entitled? Limited – Employees can apply according to their entitled leave days. You may also enable resignation prorate and select a parent leave type. Unlimited – No entitlement limit; employees may apply without restriction. Resignation prorate and parent leave type settings are not applicable. ii. How would you like this leave to be provided? Yearly – The full leave entitlement for the calendar year is provided upfront. Monthly – Leave is accrued monthly and becomes available only after each month is completed. Monthly Advance – Leave is allocated monthly in advance at the beginning of each month. iii. When would you like for this leave calculation to start? 1st of Jan – The leave entitlement is calculated based on the full calendar year, regardless of the employee’s join date. Join Date – The leave entitlement is prorated based on the employee’s join date within the calendar year. iv. Would you like to apply resignation prorate for this leave type? Yes – Leave will be prorated based on months worked in the resignation year. No – Leave will not be prorated. v. Which parent leave type does this leave belong to? – Select a parent leave type if needed. When selected, the parent leave type will be deducted at the same time if the main leave type is applied. (Optional) vi. Is leave encashment allowed for this leave type? Yes – Untaken leave can be converted to salary; select the Leave Encashment Payroll Item. No – Leave cannot be encashed. vii. Should public holidays and rest days be included in the leave calculation? Yes – They are counted as part of the leave. No –They are excluded. Tip: For further examples and scenarios explaining the calculation and provision methods (question ii & iii), refer to Leave Type Scenario. 5. Configure E-Leave Settings: i. Is this leave type specific to a gender? Male Female Both ii. How many days in advance should an employee apply for this leave? Enter the number of days. (Optional) iii. Leave is able to be applied upon? Join Date – Leave can be applied immediately upon joining. Confirmation Date – Leave can only be applied after confirmation. Months after Join Date – Leave becomes applicable only after a specified number of months from the join date. Enter the number of months required. iv. How can this leave be applied by? Weekly – Leave must be applied by week. Daily – Leave can be applied by day. v. Is a supporting document or attachment required for applying for this leave? Yes – Employees must attach a supporting document when applying for the leave type. No – No supporting document is needed. vi. Does this leave type require third party replacement during the absence? Yes – Another employee must be assigned to cover duties. No – No replacement is required. vii. Is this an unpaid leave? Yes – Select the corresponding Unpaid Leave Payroll Item. No –This is a paid leave type. 6. Click Save. 7. You may view all leave types in the Leave Type list: To edit, click the pencil icon, make necessary changes, then click Save. Leave Type ScenarioBackground: Employee B joined the company on 1 July 2025 and is entitled to 12 days of annual leave per year. The number of leave days B receives upon joining depends on the settings of the following two configuration questions: 1. How would you like this leave to be calculated? Yearly – The full leave entitlement for the calendar year is provided upfront. Monthly – Leave is accrued monthly and becomes available only after each month is completed. Monthly Advance – Leave is allocated monthly in advance at the beginning of each month. 2. When would you like for this leave calculation to start? 1st of Jan – The leave entitlement is calculated based on the full calendar year, regardless of the employee’s join date. Join Date – The leave entitlement is prorated based on the employee’s join date within the calendar year. Note: If the calculated entitled days is less than 0.5 days, it will be rounded down. If it is 0.5 days or more, it will be rounded up. Employee B will receive 6 days of leave immediately upon joining. 3 Monthly 1st Jan 12 days July: 0 days Aug: 2.4≈2 days Sept: 4.8≈ 5 days Oct: 7.2≈7 days Nov: 9.6≈10 days Dec: 12 days Leave is calculated from 1st of Jan, regardless of the employee’s join date but earned after completing each month of service. Employee B is entitled to 12 days for the year; since B joined in July, the leave is calculated over 5 months: 12 days ÷ 5 months = 2.4 days per month, rounded down and credited after each completed month. 4 Monthly Join Date 6 days July: 0 day Aug: 1 day Sept: 2 days Oct: 3 days Nov: 4 days Dec: 5 days Leave is prorated from the Join Date and earned after completing each month of service. Employee B will receive 1 day of leave after each completed month. Note: The 6th day of leave will only be credited in January 2026. 5 Monthly Advanced 1st Jan 12 days July: 2 days Aug: 4 days Sept: 6 days Oct: 8 days Nov: 10 days Dec: 12 days Leave is calculated from 1st of Jan, regardless of the employee’s join date and given based on the monthly allocation at the start of each month. Employee B will receive 2 days of leave at the start of each month. 6 Monthly Advanced Join Date 6 days July: 1 day Aug: 2 days Sept: 3 days Oct: 4 days Nov: 5 days Dec: 6 days Leave is prorated from the Join Date and credited based on the monthly allocation at the start of each month. Entitlement GroupAn Entitlement Group allows employers to bundle multiple Leave Types and assign them to employees based on eligibility or company policy. Employees assigned to an Entitlement Group can only apply for the leave types included in that group. Each employee can be assigned only one entitlement group. Steps to Add a New Entitlement Group: Go to E-Leave > Setting. 2. Under Setting, select Entitlement Group, then click New. 3. Enter the Group Title, tick Is Active and click Save. 4. You will be redirected to the group details page. Enter the required details: Unlimited Leave – i. Click the pencil icon next to Unlimited Leave. ii. Select Leave Type(s) from the dropdown list (e.g., No Pay Leave). Then, click Save. Limited Leave – i. Click the pencil icon next to Limited Leave. ii. Select the applicable Leave Type(s) from the dropdown list. iii. For each limited leave type, click New to define the entitlement details. iv. Fill in the following details, then click Update: Service Year From > – The starting year the employee becomes eligible. Service Year To < = – The final year the employee remains eligible. Entitled Days – Number of days allowed for the leave type. BF Days – Number of unused days that can be brought forward. Expired Date – Final date to utilise brought forward leave. v. You may preview the entries: To edit, click the pencil icon. To delete, click the trash bin icon. vi. Click Save once all configurations are completed. Entitlement Group Employee(s) i. Click the pencil icon next to Entitlement Group Employee(s). ii. Select the employee(s) to be assigned to this group. Click Save. 5. Return to the Entitlement Group page to review the newly created group. To edit the group, click the pencil icon, make the adjustments, and click Save. Note: To add or remove Leave Types within the Limited or Unlimited categories, go to E-Leave > Setting > Leave Type. (See Leave Type) You may update the field “How would you like this leave to be entitled?” to adjust the leave type category (Limited or Unlimited). Steps to Delete an Entitlement Group: Note: Entitlement Groups that are assigned to an employee cannot be deleted. Click the pencil icon to open the group. 2. Under Entitlement Group Employee(s), click the pencil icon. 3. Click the cross icon to remove the assigned employee(s), then click Save. 4. Return to the Entitlement Group page and click the trash bin icon. 5. Click Yes to confirm deletion.
