Time Attendance Import
The Time Attendance Import tool allows employers to upload employees’ clock-in and clock-out records from external sources such as biometric devices or punch-card machines. These records help to calculate working days, unpaid leave, annual leave, lateness, and overtime, which are then applied in the payroll process. A downloadable Excel template is available for employers to prepare attendance data for import. Steps to Import Time Attendance Data: 1. Go to Payroll > TA Import. 2. Select File Configuration. 3. Complete the following fields to customise the Excel template structure, then click Save: Starting Row – The first row containing employee attendance data. Columns – Assign the columns that correspond to Working Data, Deductions, and Overtime information. 4. Select Configuration to assign payroll deduction items to Time Attendance fields. 5. In the Time Attendance Configuration panel, choose the appropriate deduction item (e.g., Unpaid Leave, Lateness) for each category. Then, click Save. Note: Deduction Items can be modified at Payroll > Setting > Payroll Items > Deductions. (See Payroll Items) 6. Click New to create a new Time Attendance import. 7. You will be redirected to the Time Attendance Import page. Select the Time Period and Payroll Profile, then enter a Description. If needed, adjust settings again via File Configuration or Configuration at the top right. 8. Click Template to download the TA Import Excel template. Fill in the required data: Working Days, Worked Days, Unpaid Leave Days, Worked Rest Days, Worked Holidays, Absent Days – Enter number of days. OT for Worked Days, OT for Rest Days, OT for Holidays – Enter overtime hours. Lateness Count, Early Out Count – Enter number of occurrences. 9. Click Import File and upload the completed Excel (.xlsx) file and/or any other required data(s). 10. Review the imported data, then click Save. 11. The imported Time Attendance records will be displayed. To edit, click the pencil icon. To delete, click the trash bin icon. 12. Go to Payroll > Payroll Process, select Payroll Profile, and proceed with payroll. (See Payroll Run with Predefined Schedule). Note: A warning will appear if an employee’s total deduction exceeds 50% of the gross salary amount. Steps to Edit an Employee’s Time Attendance Record before Saving: 1. Locate the employee record you want to edit and click the pencil icon. 2. Modify the necessary details in the Edit Time Attendance Details panel, then click Save. Steps to Delete an Employee’s Time Attendance Record before Saving: 1. Click the trash bin icon next to the record. 2. Click Yes to confirm deletion.
